Special Meeting Announcement

Hunters Branch Condominium Association
Board of Directors Special Meeting Announcement

In accordance with Article III, §10 of the Bylaws of the Hunters Branch
Condominium Association, notice is hereby given that a special meeting of the
Board of Directors has been called by the President. The meeting shall be held on
Friday, May 31, 2013 at the National Realty Partners Office at 365 Herndon
Parkway, Suite 106, Herndon, VA 20170. The meeting will begin at 2:00pm.

The primary purpose of this meeting is for the Board of Directors to review and
approve the 2013/2014 budget. The agenda for the meeting shall be as follows:

Pool Rules

May 15, 2013

Dear Residents:

It’s that time of year again when the weather gets warmer, school lets out, and the pool opens!  This year our pool will be opening on May 25th, the start of Memorial Day weekend.  The pool will be open seven days a week from 10:30 a.m. until 8:30 p.m.  It will close at 8:30pm on Labor Day, Monday, September 2nd.   It will be open for two additional weekends, September 7th -8th and 14th – 15th from 10am to 7pm.

To access the Hunter’s Branch pool, residents must show the lifeguard on duty their pool pass.  Please stop by the office to pick up your  pool pass if you do not have one.  Residents may bring 2 guests per apartment. (There is no visitor pool pass.)  Persons between the ages of 14 and 18 unaccompanied by an adult are permitted to bring a total of 2 guests per household.  In the case that a pass is lost there will be a $25 replacement cost per pass.

To ensure the safety and enjoyment of all of our residents, we have the following rules in place.  Anyone who does not abide by these rules may have their pool privileges revoked for the season.

  • No person(s) shall use the pool unless it is officially open and the lifeguard is on duty.
  • Persons under 14 must be accompanied by a parent/guardian at least 18 years of age.
  • Pool is reserved for residents and a maximum of 2 guests.
  • Proper swimming attire is required.
  • Shower before entering pool.
  • Pets or glass containers are not permitted in the pool area.
  • No alcohol.
  • No running, wrestling, or diving in pool area.
  • Beach ball, toys and floatation mats are not allowed in pool.
  • No person(s) with open cuts, sores, or abrasions allowed in pool.
  • Do not remove safety equipment unless an emergency exists.
  • Use pool at your own risk.  The management/owners are not responsible for injury or thefts.
  • If you have or have had diarrhea in the past two weeks, please do not use the pool.
  • Shower your child and yourself before entering the pool or after using the toilet.
  • Bathers who are not toilet trained or incontinent adults must wear a swim diaper.
  • Do not drink the pool water.
  • No smoking inside gated pool area.

Pesticide Application Notice

In accordance with Section 55-79.80:01 of the Virginia Condominium Act, all owners and residents of the Hunters Branch Condominium Association are hereby notified that pest control services will be provided on Monday, May 6, 2013.  This service will include applying pesticide to the exterior of the buildings for ant control. 

It is recommended that humans and pets limit contact with this area for approximately two hours after treatment. 

If you would like information on the products used, you are encouraged to contact National Realty Partners at 703-435-3800.  Material safety data sheets are available upon request.

INTERIOR PAINTING TO BEGIN DECEMBER 3RD

Palmer Brothers Painting will begin painting the building interiors on December 3, 2012.  This will include all interior walls and trim, the stairwells, garage elevator lobby, all stairwell doors, exit doors and all unit doors. 

The painting schedule is as follows:

Residents must remove all personal possessions from the door ledges and common halls prior to painting.  Residents must also SCHEDULE for their unit door to be painted as access to the full door, including the portion blocked by the door frame when closed, is necessary.  To schedule your door painting, please contact Celio at 301-775-4138.  Please call only during business hours as this is a cell phone number and we would like to respect personal time. 

Door painting will be done in conjunction with building painting.  Work will generally occur Monday through Saturday, excluding holidays (Christmas Day and New Year’s Day) between the hours of 8:00am – 5:00pm.

As always, every effort is be made to minimize inconveniences to residents, your patience and cooperation is greatly appreciated during this project.

WINDOW WASHING SERVICES AVAILABLE

As the exterior work on the building is almost complete, Palmers will soon be removing the lift and tall ladders from the community.  While this equipment is on site, Palmer Brothers is offering exterior window washing services to all owners for a cost of $10 per window.  If you would like to have your exterior windows washed, please contact Palmer Brothers Painting at 301-587-0100 to arrange for payment.

Reminder: Garage/Parking Lot Painting

GARAGE PAINTING WILL OCCUR ON THE FOLLOWING DATES:

ALL VEHICLES MUST BE REMOVED FROM THE GARAGE BY NO LATER THAN 8:00 AM ON THE DAY OF PAINTING.

PARKING LOT PAINTING WILL OCCUR ON SATURDAY, NOVEMBER 10, 2012. ALL VEHICLES MUST BE REMOVED FROM THE PARKING LOT BY NO LATER THAN 8:00 AM.

ANY VEHICLES THAT ARE NOT MOVED FROM THE GARGAGES OR PARKING LOT BY 8:00 AM ARE SUBJECT TO TOWING AT THE OWNERS EXPENSE.

FREEZE WARNING!

The seasons are quickly changing and overnight temperatures are frequently reaching freezing. Now is the time to take precautions to prevent winter damage to your home, common areas and neighbors.

  • Have fall/winter preventative maintenance performed on your HVAC system to ensure it is in proper working order.
  • Turn on utility room heaters, if present. This is especially important for condominium units with sprinklers on balconies or water pipes and water heaters in utility rooms on balconies. Set these heaters to a mid-range temperature and check regularly during the winter season to ensure they are properly functioning.
  • Open cabinets under sinks during cold spells to allow warm air to get to the pipes.
  • During severe cold spells, allow faucets to drip to ensure water in the lines do not freeze.
  • NEVER set your thermostat lower than 60 degrees, even if you are away for an extended period. DO NOT TURN OFF YOUR UTILITIES, EVEN IF YOUR HOME IS VACANT. Many condominiums are designed to depend on the heat from each unit to warm water supply lines or sprinkler lines throughout the building. If you turn off your utilities, your pipes are at risk of freezing. The cost to repair this damage is significantly greater than the cost to keep the unit warm while vacant.
  • Seal off access doors, air vents and cracks to the outside. Pay special attention to electrical outlets on outside walls and windows.
  • Find the shut off valve for your unit! It may be near the water heater, the washing machine or where the water line comes into your home. If a pipe bursts anywhere in the house this valve turns it off. Find it now and place a bright hang tag on it. Be sure everyone in the family knows where it is and what it does.
  • Disconnect and drain outdoor hoses, if part of your unit. Turn off the water to all outdoor spigots and allow the spigot to remain open over the winter. A single hard, overnight freeze can burst faucets and pipes.

GARAGE POWER WASHING & PAINTING

GARAGE POWER WASHING & PAINTING BEGINS NOVEMBER 5TH
PARKING LOT PAINTING NOVEMBER 10TH FOR GARAGES

ALL items stored in the garages must be removed from the garage by no later than the day prior  to scheduled power washing. Any items not removed may be relocated without further notice.

All storage items must remain out of the garage until AFTER painting is completed.
ALL vehicles must be moved from the garages by no later than 8:00 am on the morning of power washing and on the morning of painting. Work in the garages should be completed by 5:00 pm each day and vehicles may return at that time. Any vehicles not moved by 8:00 am will be relocated by a tow truck at the owner’s expense.

Work will progress in the following order:
Building,  Remove All Stored Items By No Later Than, Power Washing (remove vehicles by 8:00 am), Painting (remove vehicles by 8:00 am)
2931 Deer Hollow: November 4th, November 5th, November 8th
2921 Deer Hollow: November 5th, November 6th, November 9th
2911 Deer Hollow: November 6th, November 7th, November 12th

During the time work is underway, owners will be allowed to store items on the balcony.

All items must be removed from the balcony by no later than the day following painting.

FOR PARKING LOTS
Parking lot painting is scheduled for Saturday, November 10th. ALL vehicles must be moved from the parking lot by no later than 8:00 am. Any vehicles not moved by 8:00 am will be relocated by a tow truck at the owner’s expense.

Hunters Branch residents are encouraged to use their assigned garage parking space or overflow parking along Hunters Glen Way during the parking lot painting. Additionally, residents can use the ICF International garage upon completion of a hold harmless agreement with ICF International. Copies of the agreement will be available for download from the Hunters Branch website www.HuntersBranch.info on Tuesday, November 6th.

In the event of inclement weather, parking lot painting will be performed on Saturday, November 17th and use of the ICF International garage will be available.

Hunters Branch Proxy Form

Due to a clerical error on the previous Annual Meeting Proxy ballot mistakenly stated the incorrect Annual meeting date in the body of the proxy ballot. The correct date is October 17, 2012 as stated on the top of the proxy and in the notice. All residents/owners received a corrected proxy by mail. If you are unable to attend the meeting please correct the date on your proxy before submission or use the corrected Proxy form on the reverse side of this letter. If you need an electronic copy of the proxy, you can print one out from the DOCUMENTS page of this website.

 
The purpose of the Annual Meeting is to elect one (1) Unit Owner to the Board of Directors. To date, two people have declared their candidacy for the open Board of Directors position.

 
The Annual Meeting of the Hunters Branch Condominium Association will be held:
